Board Meeting, 8/26/13

Larry Wilson, Dawn and Lavon Moore, Gene and Donna Lou McClanahan, Crystal Pickens, Kent Baker, Mae Graham, Jerod Thurman, Anthony Faught, Virginia Grubbs, Cindy Wilhelm and Aaron Baker met at the Community Building on Monday, August 26, 2013 for the reorganization of the Atlanta Homecoming Board.

Secretary Jean Magruder read the minutes of the previous meeting. They were approved as read.

Treasurer Cindy Wilhelm reported a balance of $15,226.01 with a net profit of $2,820.94 from the 2013 event.

The board approved purchase of two sets of bleachers for the baseball field pending the booster club’s approval on the project and providing the labor.

Election of new board members was then discussed. Three board members are elected to serve a three-year term each year. Cindy Wilhelm serves as treasurer. The following is a current roster of board members:

Aaron Baker moved to donate $1,000 to the Atlanta Community Club. Jerod Thurman seconded. Motion carried.

Jerod Thurman, Chair of the Atlanta Homecoming Committee, reported the committee will continue to organize the Homecoming.

The meeting was then adjourned.

Friday, July 26, 2013

Committee Meeting, 7/23/13

Jerod and Alissah Thurman, Red and Missy Faught, Cindy Wilhelm, Mae Graham, Sarah Grinder, Gina Gilliland, Shallon and Richard Collier and Aaron Baker met at Atterberry Park on Saturday, July 23, 2013 to discuss final plans for the Atlanta Homecoming.

Jerod called the meeting to order. Aaron opened with prayer.

The previous minutes were approved as read.

The treasurer reported a net profit of $1,766.89. [Note: A significant pledge is still outstanding]. Total income was $7,885.01 and expenses totaled $6,118.12.

Several items were discussed regarding feedback from attendees:
1          Add more meals like the pulled pork dinner.

2          Reduce live entertainment to one band on Friday night.

3          Move the queen contest to the intermission of the live entertainment.

4          Identify new volunteers to assist with BINGO.

            Move breakfast to 7:00 A.M.

           Add a Washers or Horseshoe Tournament.

7         Have recorded music for times when there is no stage entertainment.

It was announced that the schedule had been viewed more than 1,600 times online and that 107 thank yous had been sent to donors and volunteers.

A discussion was held regarding improving local properties adjacent to the park.

Missouri Community Betterment will host a meeting in Atlanta on August 7, 2013 at 6:00 P.M. All committee members are encouraged to attend.

The group plans to meet again in March.

Monday, June 24, 2013

Committee Meeting, 6/21/13

Crystal Pickens, Christina Christensen, Gina Gilliland, Red & Missy Faught, Alissah Thurman, Chris Baker, Aaron Baker, Richard and Shallon Collier and Eric Pinkston met at Atterberry Park on Saturday, June 21, 2013 at 9:00 A.M. to discuss final plans for the Atlanta Homecoming.

Aaron Baker led the group in prayer.

Aaron Baker is working on a donation of propane from MFA Propane of La Plata. Donations deposited to date from fundraising: $1650.

Jerod Thurman is organizing chair pickup on Thursday at 9 A.M. at the school. Aaron Baker will send a reminder text for help.

Dianne Diamond will take the lead on BINGO instead of Kathy Baker.

Aaron Baker will contact Jamee Nelson about the use of her sound system.

The meeting was adjourned at 9:50 a.m.

Committee Meeting, 6/8/13

Neal & Stacey Ross, Jerod & Alissah Thurman, Missy and Red Faught, Richard and Shallon Collier, Chris Baker and Aaron Baker met at Atterberry Park on Saturday, June 8 at 9:00 A.M. to finalize plans for the homecoming and to inventory and clean the storage shed and shack.

Aaron Baker led the group in prayer reported on the last meeting.

In the absence of Cindy Wilhelm, Aaron reported that we are submitting an application to receive a sales tax exemption letter from the state and that we are not a 501(c)(3) per the IRS.

The latest schedule was reviewed as well as vouchers for meals for judges and car / tractor show participants, the earned  paid media plan and a disclaimer regarding accidents.

Aaron Baker reported we have received $1,450 in donations received with an additional $300 pledges.

Gina Gilliland was not present to report on items donated.

Eric Pinkston was not present to report on discussions with local grocery stores for items donated.

The gift certificate to AJ’s will be used as the prize for the Newlywed Game.

The 2013 budget was reviewed.

Kids’ prizes from previous years will be used for the kids’ games.

The Home Press is seling $20 ad spots to sponsor the schedule in the regional edition of the paper to be published on 6/19. The Home Press printed both bands and an article previewing the Homecoming on 6/12. The Journal is planning to print their full article on 6/17.

Stacey Ross is taking care of marking the streets for the parade.

Aaron Baker will check on donations of propane from MFA of La Plata.

The committee will meet again on Saturday, June 22, 2013 at 9:00 A.M. at the Park.

Committee Meeting, 5/20/13

Jerod, Alissah and Kailin Thurman, Cindy Wilhelm, Missy and Red Faught, Mae Graham, Stacy Ross, Richard and Shallon Collier, Gina Gilliland, Chris Baker and Aaron Baker met at the community building on Monday, May 20, 2013 at 7:30 P.M. to plan for the Atlanta Homecoming.

Aaron Baker reported on the last meeting.

Cindy Wilhelm gave a treasurer’s report.

Eric Pinkston was named vice president. Aaron Baker will serve as secretary.

The latest schedule was reviewed.

Missy moved to change the schedule to have the pulled pork dinner on Friday night.  Stacy seconded. Motion carried.

The following were approved to be on the account at C&R: Mae Graham, Stacy Ross, Missy Faught and Jerod Thurman.

Eric Pinkston volunteered to work on donations from food vendors.

Red moved to provide $80 for plaques for the tractor pull and car show. Chris seconded. Motion carried. All bills are to be sent to Cindy Wilhelm, Treasurer.

Jerod and Red will take the lead on blocking the streets throughout the weekend. Shallon has old volleyball plaques that can be used.

Cindy will order bulk “Atlanta Homecoming” ribbons to be used for various events.

Prizes for parade entries were discussed. They are to be determined by parade volunteer organizers Cindy Wilhelm and Julie Ross.

A convertible or horse and buggy and is needed for the grand marshal.

The bounce house and slide ($100) and Full Circle ($200) checks have been sent. These are the only “pre-pay” expenses incurred at this time out of the $6,500 budget. Total costs for other non-food items are KRES Radio $320, Gospel band donation $100, Keota $500 and Full Circle $700.

Volunteers for each contest are to get the necessary plaques, sashes and awards for their event. D’Zines by T and Tim Swallow are the preferred vendors.

The group will meet again on Saturday, June 8 at 9:00 A.M. to clean and organize the storage shed and food shack.
